Exporting Data

You can export various types of data from your promotion, including entrant data, analytics, voters, photos, and winner information. Exported files can be downloaded directly from your account without needing any integrations.

Export Entrant Data

To export your entrant data (for all sweepstakes type except purchase promotions)

  1. Open your promotion.

  2. Navigate to Entries.

  3. Click Export.

  4. Select your preferred export options.

  5. Download the generated CSV file.

The entrant export includes participant information, entry details, and any custom fields collected during the promotion.


Export Purchase Sweepstakes Data

Purchase Sweepstakes promotions offer three export options depending on whether you'd like to export entrants or qualifying orders.

1. Export Entrants (by Sign-up Date)

Exports one row per entrant who signed up during the selected date range.

Details:

  • One row per entrant.

  • Totals include all qualifying orders associated with that entrant, even if some orders fall outside the selected date range.

  • This matches the original entrant export format.

File Format

Each row represents a single entrant.


2. Export Entrants (by Order Date)

Exports one row per entrant who placed a qualifying order during the selected date range.

Details:

  • One row per entrant.

  • Totals only include qualifying orders placed within the selected timeframe.

Important

This export requires order timestamps.

  • Only qualifying orders placed starting in July 2026 are included.

  • Entrants or orders that were manually added or imported do not contain timestamps and will not appear in this export.

File Format

Each row represents a single entrant.


3. Export Orders

Exports one row for every qualifying order placed during the selected date range.

Details:

  • One row per qualifying order.

  • Entrants with multiple qualifying orders will appear multiple times.

Important

This export requires order timestamps.

  • Only qualifying orders placed starting in July 2026 are included.

  • Orders or entrants that were manually added or imported do not contain timestamps and will not appear in this export.

File Format

Each row represents a qualifying order.

If an entrant has multiple qualifying orders, they will appear on multiple rows.

One row per entrant. Totals only include qualifying orders placed within the selected date range.

Export Orders

One row per qualifying order. Entrants may appear multiple times if they have multiple qualifying orders.

Note: Export Entrants (by Order Date) and Export Orders require order timestamps. Orders placed before July 2026, as well as manually added or imported entrants and orders, are not included.

Known UI Behavior

To prevent accidental duplicate export requests, the Export button may temporarily become disabled after you click it.

If you need to generate another export after the first export completes, simply refresh the page before running another export.


Understanding "Invalid Entries"

If your exported dataset contains more rows than expected or many entries marked as invalid, this is often related to spam filter settings.

Why this happens

When a high-level spam filter is enabled:

  • Only one entry per unique IP address is allowed.

  • Additional entries from the same IP address are flagged as invalid.

Example

This can occur in situations such as:

  • Multiple people entering from the same household

  • Entries submitted from shared networks (office, school, etc.)

These additional entries will still appear in the export file but will be categorized as invalid submissions.


Export Promotion Analytics (all sweepstakes types)

To export analytics data for your promotion:

  1. Open your promotion

  2. Click the Analytics button

  3. Scroll down to the analytics table

  4. Click Export Data on the right side

You can repeat this process for each analytics section if needed.


Export Voter Information (for contests)

To export voter data for a contest:

  1. Go to Entrants

  2. Select Moderate

  3. Click Voter Log in the top-right corner


Export Contest Photos

To download all contest photo submissions:

  1. Go to Entrants

  2. Select Moderate

  3. Click Export All in the top-right corner


View Photo Bonus Entry Submissions (all sweepstakes type)

If your promotion uses a photo bonus entry (e.g. "Share a photo with us" as a bonus action), submitted photos are not visible in the moderation area. Instead, the link to each submitted photo is included in the entrant data export.

To access a photo bonus entry submission:

  1. Go to Entrants in your promotion.

  2. Click Export to download the entrant data.

  3. Once ready, download the file from Settings → Account → Download Center.

  4. Open the exported file and locate the column for the photo bonus entry. It will contain a link to the submitted photo.

📷 Note: Unlike contest photo submissions, photo bonus entry images do not appear in the Moderate area. The export is the only way to view them.


Export Photos from the Upload Photo Action (all sweepstakes type)

If photos were submitted through the Upload Photo Action:

  1. Go to Entrants

  2. Click Export Photos in the top-right corner


Export Winner Information

To export data about contest winners:

  1. Go to the Winners tab in your contest

  2. Click Export

This will download detailed information about:

  • Contest winners

  • Additional participant data (when permitted)


Best Practices for Managing Entrant Data

To keep your data organized and accurate:

  • Regularly review your spam filter settings

  • Export data periodically to maintain backup records

  • Use exported data to analyze participation and campaign performance

Proper data management helps ensure accurate reporting and a smoother contest experience.
